Separate stable fields from working labels

Use structured fields for facts such as location, lifecycle stage, customer type, and source. Use tags for controlled operational classification, not as a replacement for every piece of customer data.

Define who may create fields and tags so near-duplicates do not fragment reporting and targeting.

    Write inclusion and exclusion rules together

    A segment definition is incomplete until it states who must not receive the communication. Consent state, opt-out status, invalid numbers, recent contact, and campaign conflicts should be explicit exclusions.

    Monitor invalid-contact rate, delivery performance, meaningful replies, opt-outs, and CRM outcomes by segment. These signals help the team distinguish weak content from weak audience selection.

    Retire saved segments that no longer reflect the current operating model rather than leaving them available as misleading shortcuts.
